Lonza AG seeks an Assistant CIO & IT Purchase Requisitioner (f/m/d) to join our prestigious life sciences facility in picturesque Switzerland. This outstanding opportunity involves working closely with our CIO and IT Leadership Team (ITLT), contributing to pioneering projects, and ensuring smooth IT procurement!
Key responsibilities:
Administrative Tasks
Calendar & Travel Management: Manage the calendar, internal and external meetings, and travel arrangements for the CIO
Event Coordination: Prioritize and coordinate various IT and IT Leadership Team (ITLT) events throughout the year, and take minutes during ITLT meetings
Ad Hoc Support: Provide support for IT projects as needed
Vendor Creation & Management
Onboarding: Onboard new vendors in ORO and SAP, ensuring all required documents and compliance checks are completed
Records Management: Maintain and update vendor records to ensure the accuracy and currency of the ORO and ARIBA database
Vendor Communication: Serve as contact for IT Vendor inquiries and issue resolution
Assist in reviewing vendor contracts, working with IT Vendor Management and Procurement teams to support purchase orders and ensure contract alignment
Purchase Order (PO) Creation
Coordinate the end-to-end PO lifecycle, from creation to closure
PO Preparation: Prepare and issue purchase orders in accordance with procurement guidelines
Collaborator Collaboration: Work with internal collaborators to clarify requirements and ensure alignment with budget constraints
Goods Receipt (GR) & Invoice Management
IT Liaison: Act as the single point of contact for IT regarding PO status and GR updates
Budget Alignment: Collaborate with IT Controlling to align POs with the current IT budget
Collaboration: Assist in managing goods receipt entries with relevant collaborators, ensuring alignment with purchase orders
Invoice Processing: Review, validate, and process vendor invoices, ensuring accurate documentation and timely approvals
Sensitivity: Maintain discretion and confidentiality in handling sensitive information
Key requirements:
A-level / high school diploma or commercial apprenticeship
4+ years of experience in administrative roles within a Life Science / Pharma or IT environment
Senior management administrative experience
Vendor management experience
Solid knowledge of ARIBA, SAP, Office suite (Outlook, Word, Excel, PowerPoint), and collaboration tools (Teams, Mentimeter, Microsoft forms)
Excellent organizational and time management skills, flexible, proactive, collaborative & great teammate
Strong verbal and written communication skills, able to work in a matrix organization
Proven ability to handle confidential information with discretion
Comfortable in a fast-paced, high-demand environment
Proficient in English is required. Proficiency in German is preferred
Knowledge of any other languages is beneficial
Previous experience supporting digital transformation or large-scale IT initiatives is a plus
