Key responsibilities:
Administrative Support:
- Scheduling meetings and coordinating project activities, preparing meeting agendas, taking minutes, and distributing them
- Managing calendars for project managers and team members
- Coordinating and maintaining project documents and files
Coordination and Communication:
- Coordinate events, workshops, and various meetings (internal, external, local, and international)
- Arrange travel itineraries and on- and off-site meetings, including associated logistics. Willingness and flexibility to travel on demand
- Serving as a bridge between project team members, clients, and collaborators
- Collaborate with other administrative professionals to provide seamless support across the department
- Facilitating communication across different departments and ensuring that project updates are shared
- Handling inquiries and correspondence related to the project
Documentation and Reporting:
- Tracking project progress and ensuring documentation is up to date
- Compiling data for status reports and presentations for collaborators.
- Assisting in the preparation and updating of project plans, reports, and presentations
Financial and Resource Management Support:
- Process and track expense reports and relevant invoices, ensuring accuracy and compliance with company policies
- Managing contract requisitions, acting as project main purchase order requisitioner, dealing with invoices, and other financial documents
- Assisting with budgeting and tracking project expenses
Key requirements:
School diploma or commercial apprenticeship
Minimum of 4 years administrative experience
Previous experience in supporting a busy senior executive, preferably in a project, finance/IT, or corporate setting
Being proactive and expressing ideas that will improve the business area
Great collaboration skills, demonstrating an openness to different perspectives by balancing listening and speaking
Strong communication skills, working in a matrix organization
Excellent planning, prioritizing, and coordinating work to deliver on time
English is a must. German is a big plus
